The question foreign vendors always ask
"Why not just record it when it clears?"
Because in Thailand the cheque itself is the payment instrument, and it is often dated weeks or months forward. The moment you hand it over:
- The payable is settled. The vendor considers themselves paid.
- The cash hasn't left. It sits in a post-dated cheques liability account.
- The cheque number, its date, the bank, and its status all have to be trackable — because it can bounce, be cancelled, or be replaced.
Record it only when it clears and your payables are overstated until every cheque clears, and nobody can answer "which cheques are still out there."
What it looks like in the system
A cheque register where every row links back to the payment voucher that issued it — number, bank, payee, amount, status in one table. The payment voucher posts the accounting entry, produces the withholding tax certificate, and registers the cheque in one document.
